How to use (Step by Step)

You don’t need advanced Excel knowledge to use this dashboard.

Just follow the steps below.

Step 1: Open the Excel File

• Download and open the .xlsx file in Microsoft Excel
• Make sure Editing is enabled
• The file works fully offline
• You will mainly use two sheets:
  • Dashboard
  • Data

👉 All data entry happens in the Data sheet.
👉 All analysis happens automatically in the Dashboard.

Step 2: Enter Your Sales Data

Go to the Data sheet.

Data entry starts from Column B to Column Q.

Columns where YOU enter data:

• Order ID
• Order Date
• Invoice No
• Customer Name
• Salesperson
• Channel
• Region
• State
• City
• Product Category
• Product Name
• Quantity
• MRP
• Sales Price (per unit)
• Discount (%)
• Cost Price (per unit)

👉 Enter one row per order or invoice.

Step 3: Columns That Are Calculated Automatically

You do not need to enter anything in the following columns.
They are calculated automatically:

• Sales Amount
• Cost Amount
• Profit Amount
• Profit Margin %
• Year
• Month
• Month Year

⚠️ Do not type or edit anything in these columns.

Step 4: Data Entry Tips (Important)

To avoid issues:

• Use one row per transaction
• Always enter:
  • Order Date
  • Quantity
  • Sales Price (per unit)
  • Cost Price (per unit)
• Do not delete column headers
• Do not rename columns
• Do not insert new columns inside the data area

This ensures the dashboard works correctly.

Step 5: Refresh the Dashboard

After entering or editing data:

1. Click on the Data tab in Excel
2. Click Refresh All

✔️ All numbers
✔️ All charts
✔️ All tables
✔️ All filters

will update automatically.

👉 Always refresh after making changes to data.

Step 6: View the Dashboard

Go to the Dashboard sheet.

You will instantly see:

• Total Sales
• Total Profit
• Total Customers (unique)
• Total Quantity Sold
• Profit Margin %
• Monthly Sales & Profit trend
• Sales by Region
• Profit by Channel
• Top Products by Sales & Profit
• Top Customers by Sales & Profit
• Top Product Categories by Sales & Profit

Everything updates based on your data and selected filters.

Step 7: Use Dashboard Filters (Slicers)

On the left side of the dashboard, you will see filters.

Year

• Select one or multiple years
• Useful for yearly analysis

Region

• Filter sales by North, South, East, or West

Channel

• Analyze performance by Online, Retail, Distributor, etc.

Product Category

• Focus on specific product lines

👉 You can combine filters (for example: 2025 + Online + Electronics).

Step 8: If Something Is Not Showing

If charts or numbers look empty, check this:

• Make sure data is added inside the existing data table
• Click Refresh All again
• Clear slicer selections or select “All”
• Ensure mandatory fields are not blank:
  • Order Date
  • Quantity
  • Sales Price (per unit)
  • Cost Price (per unit)

Most issues are fixed by refreshing.

Important Notes

• Enter data only in the Data sheet
• Do not edit formulas or calculated columns
• Always refresh after data changes
