How to Use the Income & Expense Tracker (Step by Step)

You don’t need advanced Excel knowledge to use this file.
 Just follow the steps below.

Step 1: Open the Excel File

• Download and open the .xlsx file in Excel
• Make sure editing is enabled
• This file works fully offline

You will see multiple sheets at the bottom:

• Dashboard
• Income
• Expense
• Settings

Step 2: Review the Settings Sheet (One-Time)

Go to the Settings sheet first.

Here you can:

• Review income categories (Salary, Dividends, Other Income, etc.)
• Review expense categories (Rent, Groceries, Utilities, etc.)
• Review payment modes (Cash, Bank Transfer, UPI, GPay, PhonePe)

👉 You can:

• Rename categories
• Add new categories
• Remove ones you don’t need

This step is optional but recommended before entering data.

Step 3: Enter Your Income Data

Go to the Income sheet.

Fill one row per income entry:

• Date – date you received income
• Category – select from dropdown
• Payment Mode – select from dropdown
• Amount – enter amount received
• Description – optional notes

Tips:

• Use one row per transaction
• Do not delete column headers
• Do not insert columns

Step 4: Enter Your Expense Data

Go to the Expense sheet.

Fill one row per expense:

• Date – date of spending
• Category – select from dropdown
• Payment Mode – select from dropdown
• Amount – amount spent
• Description – optional details

Tips:

• Enter expenses daily or weekly
• Use correct categories for better reports

Step 5: View the Dashboard

Now go to the Dashboard sheet.

Refresh and everything gets updates automatically.

You will see:

• Total Income
• Total Expenses
• Net Savings
• Savings Percentage
• Monthly Income vs Expense chart
• Expense split by payment mode
• Top income categories
• Top expense categories

Step 6: Use Filters (Slicers)

On the left side of the dashboard, you will see filters.

Year Filter

• Select one or multiple years
• Dashboard updates instantly

Month Filter

• Select specific months (Jan, Feb, Mar, etc.)
• Useful for monthly analysis

Payment Mode Filter

• Filter data by Cash, UPI, Bank, etc.
• Helps analyze spending behavior

You can combine filters (for example: Feb + UPI).

Step 7: Change Data Anytime

• Add new income or expense entries anytime
• Edit existing entries if needed
• Dashboard updates automatically
• No formulas will break.
