Bulk Email Sender in Excel

The Bulk Email Sender Excel template automates the entire process — from choosing recipients to sending or saving emails as drafts — directly from Outlook.

No coding. No add-ins. Just Excel.

The Main Screen is the central place where all emails are configured. Each row represents one email.

Result

• Automatically displays the status after execution
• Shows success messages or error details

Action

• Send – Sends the email immediately
• Draft – Saves the email in Outlook Drafts
• Nothing – Ignores the row completely

Tip: Always test emails using Draft mode before sending them live.

Contact List

• Dropdown linked to the Contact List sheet
• Automatically fills To, CC, and BCC fields
• Disables Custom To, CC, and BCC fields when selected

Custom To / Custom CC / Custom BCC

• Used only when no contact list is selected
• Enter comma-separated email addresses
• Ignored automatically when a contact list is selected

Subject

• Enter the email subject line
• Supports dynamic tags like {{Name}}

Template

• Dropdown linked to the Templates sheet
• Automatically loads the email body
• Disables Custom Body when selected

Custom Body

• Used only when no template is selected
• Supports plain text, formatted text, and HTML
• Supports dynamic tags such as {{Date}}

Attachments

1. Select the Attachments cell for the email row
2. Click the Choose Attachments button
3. Select one or multiple files

Generic Attachments

• Sends the same attachment with every email
• Ideal for brochures, reports, or policy documents

Data ID

• Links the email to the Data sheet
• Used to replace dynamic tags in subject and body
• Must be unique for accurate data mapping

This sheet stores reusable recipient groups for faster email creation.

• Name of the Contact List
• To – comma-separated email addresses
• CC
• BCC

The Templates sheet is used to store reusable email content.

• Template Name
• Email Body (Plain text or HTML)

Selecting a template ensures consistency and avoids rewriting emails every time.

This sheet powers email personalization using dynamic tags.

• Data ID – Mandatory and must be unique
• Add any number of additional columns as required

Each column name becomes a dynamic tag:

• {{Name}}
• {{Date}}
• {{Company}}
